How we put the entire sales motion on one engine for AI Agency Accelerator.
AI Agency Accelerator runs ads, SEO, and outbound at volume, and the inbound and outbound demand was landing faster than a manual sales motion could catch it. We built them one agent system that runs the whole motion end to end: every lead through a single Typeform and booking flow into the CRM, instant outreach and follow-up, show-up and reminder automations, a sales-call analyzer wired into Slack, and a custom dashboard tracking speed-to-lead, every rep and setter, and every marketing and ads KPI. One synced engine from first touch to closed-won, so no lead is ever dropped and every one gets reached in real time. They own all of it.
anfloy.The challenge
AI Agency Accelerator does the hard part well. Ads, SEO, and outbound campaigns run at volume, and qualified leads, inbound and outbound, land all day. The bottleneck was everything that happened next.
The sales motion behind that demand was stitched together by hand. Leads waited on a person to follow up, speed-to-lead slipped, context lived in inboxes and spreadsheets, and the reporting that should have told them what was working was hours of manual CRM work. At their volume, a manual motion does not just slow down, it drops leads. That was the problem.
One engine, first touch to closed-won
We built them one agent system and put the whole sales motion on it. A single Typeform and booking flow is the front door: every lead lands in the CRM with the right fields set, routed and tracked from the first touch, with no manual entry anywhere.
From there the engine runs itself. Branched email sequences and flows fire on what each lead actually did, whether they booked, applied, no-showed, or went quiet. The CRM stops being a passive database the team updates after the fact and becomes the engine that runs the motion.
Never lose a lead
The system is built so a lead cannot fall through. The moment one lands, outreach fires in real time, so speed-to-lead is measured in seconds, not hours. Show-up and reminder automations work the calendar so booked calls actually happen, and follow-ups run on their own, on every lead, for as long as it takes, in the agency's own voice.
Every meaningful event, a call booked, a call rescheduled, a no-show re-engaged, posts to Slack the instant it happens, so the team watches the pipeline move in real time without living inside the CRM.
The sales-call analyzer
Every sales call runs through an analyzer that turns the conversation into structured signal and drops it straight into Slack. Reps and managers see how each call went and what to do next, without anyone writing up notes.
It closes the loop between the call and the follow-up, so the next touch is informed by what actually happened on the call rather than by whatever made it into the CRM by hand.
Custom KPIs, one dashboard
On top of it all sits a custom sales and marketing dashboard, built around the agency's own KPIs rather than a tool's defaults. It tracks speed-to-lead and the numbers that actually move the business: every sales rep's performance, every setter's, and the marketing and ads performance behind them, all the way to closed or re-engaged.
The reporting that used to be hours of manual CRM work is now live. The team can see, at any moment, which rep is converting, which ad is feeding the pipeline, and where any lead sits in the motion. The whole funnel, first touch to closed-won, on one screen.
One synced engine, owned
Every piece, the intake, the CRM, the sequences, the automations, the call analyzer, the dashboard, runs as one synced system, end to end, with no human stitching the steps together. Demand goes in the top, and a booked, worked, and reported pipeline comes out the other side.
It is a genuinely complex system, and it runs as one. AI Agency Accelerator owns every line of it, deployed on their own cloud, and it keeps running whether or not anyone is watching.
